Promoting Healthy Cash Flow through Proactive Financial Forecasting

It promotes healthy cash flow health which is essential to mitigating ever thinning profit margins and competition. Management teams need to regularly review and understand the following five basic financial metrics in order to ensure healthy cash flow:

It gives management a snapshot of assets, liabilities and net worth. When viewed over time, it helps owners understand how profits are being used to finance operations and if the company has enough cash for growth.

Aside from helping identify areas that are over or under budget, the income statement, along with balance sheet, is one of the basic elements required by banks and lenders to determine credit limits and loan rates.

But without overhead allocation, it's impossible to know actual profit or loss on your jobs.

With the right amount of drill-down detail, the job cost report can identify areas that are over budget-as well those that are under budget-and identify areas of strength and weakness in budgeting and scheduling.

Keys to successfully running a Government Contracting Organization

Article Date: 5/20/2013

Full Text:

Challenges for government contractors come in all shapes and sizes particularly in today's competitive market with the increasingly tight budgets and deadlines. In addition to the time and investment required for the project itself, there are additional reporting standards which must be met in order to maintain compliance. Among the more time consuming of all, are the reports necessary for the Defense Contract Audit Agency (DCAA).

If not planned for well in advance, DCAA audits and reporting requirements can cause a nightmare of paperwork for all involved. The agency requires that employee hours be segregated per project and verifiable through independent accounting procedures. Often times, individual time sheets are required and payroll personnel are strictly prohibited from altering the hours. As one might imagine, the agency expects that all contractors have an extensive system in place to comply with these reporting requirements. Failure to do so will cost the company hours of lost and non-billable man hours as well as potentially losing the contract in question.

Unfortunately, these audits appear to be trending toward more stringent guidelines. This is primarily because agencies have been facing budget shortages like never before. Contracting officers and end users must face tough decisions about where to allocate their limited resources. These decisions trickle down and cause new challenges for government contractors, that are increasingly difficult to overcome. Reports must now meet a higher level of scrutiny.

Implementing a business solution that can assist your accounting and management personnel in meeting these requirements can save your business a great deal of time and money. If you choose to employ DCAA compliant software, the reports are generated in real time without the necessity of additional data entry. Payroll audits that would take hours manually, can be generated in less than a few minutes, freeing personnel to complete other tasks. As DCAA guidelines continue to get stricter, it may be in your business’ best interest to invest in a software system that will save you money in the long run.

Contractors often refer to this series of payments and its scheduling as draws.

This form of agreement also exists between sub-contractors who engage to perform specialized trades for the general contractor during the scope of work. These remission schedules combine to produce a delicate balance of disbursements and revenue intake, requiring acute attention.

Concept and Reasoning

Contracts in the construction industry are written and arranged, according to the scope of work involved, to protect both the buyer, and the builder, from artifice. An outline is established, which details every aspect of construction, and the remuneration required for each phase of completed work.

This generalized agreement method can be as simple as an initial fifty percent retainer, with the balance due upon completion for subcontractors, or an elaborate compensation schedule on large contracts. Cash flow problems can occur when unforeseen interruptions halt jobsite productivity and progress, affecting draw rates on the project, while other expenditures and settlement schedules mature.

Solutions

Until now, coordinating retainage schedules to optimize cash flow in the construction industry required an extensive group of professionals and administrators calculating, monitoring, and arranging field site data through a variety of procedures, in conjunction with materials purchases and labor costs.

However, innovations in technology have enabled the development of new software programs specifically designed to increase retainage visibility, and assist in its management, striking the perfect balance between compensation requirements and receiving schedules.

Implementing the right type of software and project management programs, can maximize operational efficiency, and deliver the results that improve contractor cash flows.
In the construction industry, effectively managing and lowering fixed overhead costs may seem impossible, but incredibly, there are many new technologies and software solutions available, designed to accomplish that very thing.

The fixed costs associated with construction, generally consist of administrative, facilities, and equipment maintenance expenses, and although proper insurance compliance and labor costs are incessant, the actual cost is variable, and affected by annual revenue and specific activities performed per project.

Therefore, developing a strategy that offers a significant impact for decreasing the fixed costs of an operation can provide construction industry professionals and businesses with a distinct advantage when vying for contracts in this highly competitive field.

Administrative

Streamlining the activities of office personnel and administrative hours is an excellent way to reduce fixed overhead costs in the construction industry. Certain tasks such as, filing previous project information, maintaining accurate worker’s compensation and weekly payroll data, and tracking job expenditures can be assisted and curtailed by utilizing specialized software programs, designed for contractors.

Innovative technology is available for construction industry professionals, which offers superior data management. In an easy to access and use format, these software programs effortlessly assign field site information to its appropriate job number, including the hourly breakdown of labor needed for the proper classification of worker’s compensation codes and emergency material purchases, and simplify pick ticket and other vital paperwork submissions.

Facility and Equipment Maintenance

The monthly expenses generated in the office maintenance, such as rent and utilities comprise a certain percentage of each project, and contribute to overhead expenses.

Equipment maintenance is essential to the success of any business operating in the construction industry, especially considering that the equipment represents a significant portion of company assets. From small power tools to large machinery such as concrete pumps, excavation equipment, or fleet trucks, ensuring that these items are in good condition and work properly, requires monitoring maintenance schedules.

Factoring these cost into each job, and tracking maintenance schedules with specific software can lower overhead by ensuring that the tools needed for each project are working properly, and that when a replacement is required, resources are available for the purchase.

Recent technological advancements have altered the methods businesses in the construction industry use to organize operations. Software solutions, so effective in other industries, have been specifically adapted to furnish construction professionals with the methods to implement best practices, streamline communications, and improve efficiency, generating higher profits.

Effectively Controlling Project Costs to Maximize Construction Profits

The very nature of the industry is inherent with a plethora of variables, from weather conditions and fluctuating materials costs, to safety procedures and compliance regulations. Therefore, discovering methods that assist in controlling project costs can often be the difference in continued prosperity or financial ruin.

Businesses who offer services in the construction industry, whether as a general contractor, or a specialized trade, such as electrical, flooring, or excavation, all operate on an individual project basis. The bid process, scheduling and planning procedures, materials and labor expenses, and profit percentages combine to generate the total project contract price, and exist on each project, with the extent determined by the scope of work involved.

However, in this volatile field where most times, the lowest bid wins, unforeseen situations can arise that negatively affect the actual profit realized on the job. Finding effective tools that have the ability to neutralize these instances, offer an unprecedented value for any contractor.

Innovative Software Solutions

New resources are available, which effectively control project costs.
In the battlefield of the global marketplace, competition for customers can be fierce. Manufactures, service based businesses, and construction companies must establish the superiority of their products, but also issue reliable warranties and maintenance agreements that guarantee the functional durability and excellent operation of those services and products.

However, for large distributors or production manufacturers with numerous items, or high volume sales, effectively managing and performing service warranties and maintenance plans on every product, can present organizational challenges.

Discovering ways to streamline production processes and reduce inventory carrying costs must be a top priority in to achieve financial goals and profitable, sustainable growth.

Therefore, understanding the four major components of inventory carrying costs and how to diminish their impact on company resources can expose problem areas within the supply chain. Often, inefficiencies can be eliminated with a distribution management software solution that has the ability balance costs with order fill rates, customer satisfaction and profitability.

Capital Expense

Capital expenses refer to the purchase order and delivery dollar amounts for raw materials, batch parts, components, or other production goods needed for operations. These commodity items are subject to extreme volatility; the market often fluctuates. It is possible to mitigate price risk through order negotiations, quantity agreements and supplier partnerships with shared risk.

Taxes and Insurance

Taxes are assessed on warehoused materials including raw materials, work-in-progress, operating supply, and finished goods inventory, and levied according to regional authorities and local laws. Insurance costs vary according to the amount of estimated risk involved in maintaining stock levels at a specific facility.

Insurance costs can be diminished slightly by the implementation certain safeguard improvements such as security cameras, fire prevention systems, and employee safety programs, but taxes can only be decreased by reducing warehoused materials, and streamlining production and distribution procedures to achieve minimum holding times.

Obsolescence

Obsolescence can occur through miscommunication events or when duplicate PO’s are issued, creating an excess of materials, if current production levels are insufficient to maintain product development rates, resulting in obsolete components, or when damage occurs to materials through mishandling, or improper storage.

Employing a customized software program can reduce inventory levels and significantly improve distribution management procedures, by decreasing overall stock levels, as well as organize and coordinate timely replenishment scheduling.

Storage Costs

The labor involved in organizing and handling inventory factors into product costs. Running a profitable plant requires effective management of supplies and on-time shipments. The execution must be precise based on real-time information. Everyone needs the right information at the right time.

Managing labor costs and procuring the best possible supplier relationships can be a daunting challenging. However, there are effective cost control solutions that incorporate lean principles, streamline production processes and eliminate waste.

Managing Labor Costs

Labor costs can be reduced by implementing software that provides real-time information to implement less labor-intensive inventory control.

Software can minimize distribution inefficiencies associated with receiving, stocking, picking, and shipping products by determining the optimum warehouse layouts. Streamlining these actions to remove redundant steps and reducing the number of “touches” on each item improves efficiency and safety, effectively lowering payroll.

The administrative costs involved in creating, monitoring, and arranging purchase orders, sales orders, and shipping procedures requires instant communication. Innovative software solutions integrate every aspect of the supply chain, removing multiple, or duplicate PO occurrences, and other distribution challenges, such as regulatory compliance by providing better visibility across the order to ship process.

Managing Materials and Inventory Costs

The cost of goods for components, parts or materials required for production or assembly affects the final product profit margin. In addition, the expenses incurred by stocking and maintaining large amounts of inventory can be exorbitant.

A single source providing “vendor managed inventory” often works well for production facilities that receive the majority of goods from one supplier; however, those who operate with multiple vendors must discover alternative tools that minimize the cost of materials.

Software designed to implement customized supply chain management procedures can unite multiple vendor orders, and develop inventory strategies such as just-in-time, to systematically organize shipments for lower delivery costs, and effectively eliminate carrying costs.

SBS Group helps manufacturers improve operations by optimizing processes and implementing technology that can reduce cost and increase cash flow. From a distribution management viewpoint, implementing the lean principles inherent in cross docking, drop shipping, and Just-In-Time (JIT) strategies generates the ability to substantially reduce holding costs and improve customer service, increasing the efficiency of these labor intensive processes.

To understand how intelligent cross docking can improve inventory and production processes, companies must understand the differences between traditional stocking and shipping and applicable types of cross docking. It is very important to recognize the supply chain processes required to successfully implement cross docking.

Absent Inventory Warehousing Operations

Cross docking refers to shipping and receiving operations that occur without storage and picking. Each specific operation contends with different supply chain obstacles and requires a tailored software solution to maximize productivity profits.

Manufacturing companies can employ JIT and cross docking to coordinate reception of supplies and generate production kits for simplified and expedited product assemblage.

Distributors can consolidate inbound supplies and components at merging centers before delivery to customers, and small package carriers and other retail operations can implement cross docking to reduce excessive inbound transportation costs and facilitate receiving at outlet locations.

Supply Chain Considerations

In order to maximize the potential benefits, precise coordination is required between the distributor and the vendors.
Benefits of Inventory Management in Residential Homebuilding

Controlling inventory on a residential home building project can maximize the profit made on the project while also keeping waste to a minimum. Using an automated system with a built-in inventory function can make this process quick and easy.

During the planning phase, the project manager can estimate the amount of materials needed to complete the house. With an inventory management system in place, data from past projects allows him or her to make accurate estimates for future ones. The inventory system can also track extra materials on hand. The project manager can deduct this extra material from the order to keep inventory levels low between projects.

Tracking inventory delivery allows the project manager to schedule tradesmen to come in and do the work needed. This can keep the project time line on schedule.

Once purchased materials come in to the job site and workers begin using it, continual use of an inventory control system can alert the homebuilding manager to potential material shortfalls. This alert will give the project manager time to get more materials to the job site before the work stops. This inventory control will also show if materials go missing due to theft.

Using a homebuilding solution with built-in inventory allows tracking of scrap as well. Tracking scrap on a residential homebuilding project can show if workers use material efficiently. Cutting down on the scrap produced will keep material costs under control.

Inventory management in residential homebuilding offers many benefits to builders. With solid inventory data from past projects, estimating future projects is easier, scheduling deliveries allows for easier scheduling of tradesmen, tracking on-site inventory prevents material shortfalls and minimizes loss due to theft and reducing scrap on the job site keeps down material costs.

Eliminating Supply Chain Confusion and Inventory Wastes

Improving production and assembly line operations, while effectively managing the supply chain and distribution dynamics of a discrete manufacturing business, requires cooperation in every level of company resources. Fortunately, innovative inventory and distribution management software has the ability to streamline procedures and effectively reduce overall operational expenses.

However, no two manufacturing operations are exactly alike, therefore applying lean principles to improve efficiency, market segment position, and profitability involves a customization process. The soft costs incurred through ordering and stocking inventory can be substantial, and when combined with obsolete parts, dead stock, or a miscommunication produces excess materials, wastes occur and profits vanish.

Furthermore, the best distribution management and inventory solutions involve the implementation of a comprehensive IT plan with the ability to eliminate confusion, miscues, and blind spots in the supply chain.

Soft Costs

Manufacturers incur soft costs on every piece of inventory from the moment of delivery, and these costs progressively increase the longer the materials are present at the production facility.

For example, the specialized fasteners used to create product, or component “X” cost $0.20 each. Upon delivery, the fastener must be transferred to its appropriate stocking local. If it will not be stored near its assemblage point, it must be touched multiple times, generating unnecessary labor and operational expense, increasing its price, per piece by up to 400%.

Distribution management software combined with inventory programs such as just-in-time, can effectively eliminate most of these costs by coordinating precise shipments and scheduling PO’s to seamlessly deliver goods at the point of assembly, exactly when they are needed.

Reducing Waste

An inventory and distribution management software program that connects every aspect of the supply chain is able to orchestrate a timely delivery of goods at the production level. Resulting in less stocked inventory, which eliminates dead stock occurrences, and the chance for uncontrollable part deterioration or accidental damage, which produce material wastes.

These programs focus on providing production inventory scheduling solutions, which increases product profit margins, and disengages company funds that would otherwise be used to purchase unused inventory.

Increased Visibility

Many organizations face the tedious execution of reconciling hand counts with sales orders and PO’s. Another benefit of inventory and distribution management software programs, is that they are able to group all aspects of production in an easy to understand, all-encompassing system.

The result of this being increased inventory visibility, superior data capturing, with measurable results. Removing instances of multiple or duplicate purchase orders, consequently, saving administrative labor and reducing excess inventory.

Cutting operational expenses and increasing production efficiency is the goal of every discrete manufacturer. By implementing customized ERP software, organizations can achieve profitability aims, and establish inventory and distribution management programs that positively affect every area of operation.
